The Associação Portuguesa da Indústria de Plásticos – APIP (Portuguese Association of Plastics Industry), an association duly established at Edifício Libersil – Torre B, Rua de São José nº 35, 2º C, 1150-321 Lisboa, with VAT number 500801282 (hereafter the “Hosting Organization”), is the organizer of the Plastics Summit – Global Event 2025 (the “Event”).
These Terms and Conditions (“T&C”) apply to any participant in the Event, whether attending as an assistant, guest, speaker or lecturer, presenter, sponsor, companion, journalist or media person, member of the organization or volunteer or otherwise (hereinafter referred to as “Participants”).
These T&C apply also to any entities operating under High Patronage, Ambassadors, sponsoring and supporting organizations, partners, exhibitors and alike (hereinafter all referred to as “Sponsors”).
Participants and Sponsors, whether attending in person or virtually, when they agree to take part in or attend to the Event in any capacity or when they agree to the sponsorship proposal or when they submit their registration to the Event, accept these T&C applicable to the Event and declare that they have read and agree to them.
1. PROGRAM
The Hosting Organization reserves the right to change the Event content, schedule, speakers, date or venue at any time before the Event.
The content of talks represents only the opinion of the speakers and is their sole responsibility.
Translations into other languages will only be available for activities occurring on the main stage.
2. REGISTRATION AND SPONSORSHIP
Participants may need to register for and/or participate in the Event via third-party registration websites and/or video conferencing platforms. The Hosting Organization makes no representations or warranties and shall have no liability concerning these third parties. Any contracts or terms of use between participants and any such third parties are strictly between them.
The participants must provide true and correct data. The Hosting Organization may cancel any participant’s registration or attendance without liability or reimbursement if misrepresentation or false information is provided.
By submitting a complete online registration form, Participants agree to these T&C and undertake to pay any applicable fees, as outlined in the registration form.
Registration for the Event and other activities is subject to confirmation by the Hosting Organization and limited to venue capacity. Additional activities, such as cocktails and dinner, may require an invitation.
The sponsorship proposal contains detailed information on the sponsorship plans available, as well as the advantages and benefits included in each plan. By submitting a sponsorship request, Sponsors agree to these T&C and thereby reserve their place as Sponsors in the chosen sponsorship plan (each sponsorship plan comprises a limited number of Sponsors). In order to complete the sponsorship agreement (hereinafter “Sponsorship Agreement”), Sponsors undertake to pay the sponsorship amount applicable to the chosen sponsorship plan. Once payment has been received, the Sponsorship Agreement will become effective, and the Sponsor will be included in the list of Event Sponsors and will be promoted on communication platforms such as website, media and social networks.
3. VENUE ACCESS, CIRCULATION AND CONDUCT
All registrations for the Event are personal and non-transferable.
Confirmed registered Participants must check-in in person at a designated area, showing their registration confirmation e-mail and identification.
All Participants will receive a non-transferable badge, which must be kept visible at all times within the venue, for verification purposes.
The Hosting Organization is committed to making the Event a safe place and will not tolerate unethical, illegal, malicious or slanderous activities. Violation of these rules may result in the cancellation of registration or attendance without reimbursement.
4. CANCELLATION AND REFUNDS POLICY
The Hosting Organization may at any time, with or without giving notice, in its discretion, cancel registrations and/or cancel or postpone the Event, whether physical or virtual, change its venue or any of the other published particulars, or withdraw any invitation to attend.
The Hosting Organization is not liable for any costs or expenses incurred by Participants or Sponsors due to the modification, postponement, or cancellation of the Event.
If the Event is cancelled (except for Force Majeure events), paid fees and sponsorship funding will be reimbursed and the same payment method as the initial transaction will be used for reimbursement.
All Participants must confirm visa requirements and are responsible for their travel and accommodation arrangements, including insurance. The Hosting Organization will not be liable for expenses if participants do not attend the Event for any reason.
5. FORCE MAJEURE
The Hosting Organization is not liable for any failure to perform its obligations due to events beyond its reasonable control (“Force Majeure Event”). This includes Acts of God, natural disasters, transportation failures, sabotage, government actions, wars, terrorism, industrial disputes, and regulatory changes, among others. No reimbursement of paid Event fees or sponsorship funding will occur in such circumstances.
6. DISTRIBUTION OF CONTENT
Participants and Sponsors acknowledge that they may appear in images and audio captured at the Event. They authorize the use of these images and audio for disseminating Event-related information, which may appear on the internet and cannot be controlled.
Any documentation provided to Participants is for personal use only and may not be reproduced or shared without prior written permission.
7. INTELLECTUAL PROPERTY
“Intellectual Property Rights” include all rights (copyright, trademarks, designs, etc.) protected by Portuguese, European, and international law. Participants and Sponsors acknowledge that all materials provided may be protected by Intellectual Property Rights. Those materials cannot be used, distributed, or reproduced without explicit written authorization from the Hosting Organization.
Participants or Sponsors sharing materials at the Event must have all required authorizations and acknowledge that the Hosting Organization is not responsible for further use by other Participants or third parties.
Sponsors expressly grant the Hosting Organization a non-exclusive, revocable, and non-transferable license to use its name, trademarks, logos, and other intellectual property (“Brand Materials”) strictly for the purpose of the Sponsorship Agreement and in connection with the promotion, marketing, and execution of the Event. No rights or licenses are granted except as explicitly stated herein.
8. DATA PROTECTION
The Hosting Organization is committed to protecting participants’ personal data in compliance with GDPR and Portuguese Data Protection Law and ensures having adequate mechanisms for the exercise of the rights of personal data subjects, as further detailed in its Privacy Policy, which Participants and Sponsors acknowledge having read and agreed upon.
By registering and participating in the Event, Participants and Sponsors consent to their data being collected and processed for organizing and managing the Event. Participants’ data may be shared with their employers for follow-up purposes.
9. PHOTOGRAPHY AND FILMING
Certain sessions and social occasions may be photographed, filmed, or web-streamed. Participants and Sponsors consent to being included in these recordings for Event documentation, promotional purposes and future marketing.
If Participants or Sponsors do not wish to be featured, they should inform the Event planner in advance.
The accidental inclusion of some images in recordings or photographs may be unavoidable.
10. UPDATE OF TERMS & CONDITIONS, GOVERNING LAW AND JURISDICTION
These T&C may be updated at any time and will be governed exclusively by the laws of Portugal. Any disputes will be discussed under the jurisdiction of the courts of Lisbon, Portugal.
